Provides administrative processes support for routine “back office” tasks such as client statistics consolidation & reporting, supplier invoice payment administration, weekly timesheet administration & reporting and performing miscellaneous customer and account maintenance as defined by client specific procedures. Routine decision-making is tightly defined, with greater latitude at higher job levels, all the while focused on efficient processing of high-volume transaction-oriented assignments.
Management Information
Consolidate monthly statistics from the various internal and 3rd party ‘suppliers’
Prepare & issue statistics / management Information service packs to customers within Service Level Agreements
Prepare card & fulfilment stationery stock reports & send to customers
Finance
Provide processing (transaction / cards / PINs / postage) statistics to Finance for monthly invoicing
Calculate customer service credits
Approve invoices for payment (adhoc orders and monthly perso / fulfilment)
Investigate & resolve Finance, customer and supplier invoice queries
Timesheet Administration
Set up new projects in timesheet system; add tasks to existing projects
Send reminders for missing timesheets to London office employees
Produce month end and ad hoc reports from timesheet system for management
Troubleshoot timesheet system issues for users
Educational Requirements:
High school diploma/GED or the equivalent combination of Education, training, and work experience
General Knowledge, Skills & Abilities:
Strong PC skills with basic knowledge of Microsoft Office applications
Detail-oriented and customer-driven, focusing on providing the highest quality products and services to the company’s internal and external clients
Excellent data entry skill
Excellent customer service skills that build high levels of customer satisfaction for internal and external clients
Excellent verbal and written communication skills
Effective analytical, problem-solving, team, and time management skills
Ability to maintain confidentiality and carry out assignments that are sensitive in nature
Ability to work both independently and in a team environment
